Managing members
Members is the list of the people in the workspace. It has two tabs: Active are the people who have already signed in, and Pending are the invitations of those who haven’t yet and the requests to join (the number next to it says how many there are).
Add people
Section titled “Add people”- Click Add members, at the top right. Under the title you see how many users you have free.
- On the By email tab, type or paste the emails separated by commas or new lines. You can also use Upload CSV.
- Choose the Role they join with: User or Owner. The Custom role is given afterwards, in the table.
- Click Invite N people.
Each email gets an invitation and uses a seat. If you invite more people than fit, the dialog tells you before sending, with Buy seats, which takes you to Billing. If an invitation fails, the dialog says which ones didn’t get in and why.
The invite link
Section titled “The invite link”The By invite link tab has a link, https://<your workspace>/join/<code>, with the date it expires: it
lasts 90 days. Anyone with an email from your company’s domains who opens it and signs in joins right away, as a
User with a Standard seat, even if you’ve turned on Approve new members from these domains. Everyone else
needs an email invitation. It needs at least one company domain; without one, the tab says who to ask.
- Copy link copies it so you can share it.
- Regenerate gives it a new code and a new 90 days; the old link stops working right away. It doesn’t turn the link back on if it’s off.
- Disable turns it off right away, and Enable turns it on again with a new code.
- When it expires, the tab says Expired on the date; click Regenerate to get a new one. Nobody gets an email about it.
If the person opens an expired or turned-off link, or one with an email from another domain, they see a page that says so and asks them to request an invitation from an admin; with another domain, it also tells them to switch accounts and open the link again. People who are already members, Owners or invited get in as always, even with a link that no longer works. If there are no seats left, they see that the workspace reached its user limit.
The link is also in Organization and access → User provisioning. Whoever joins with the link from a domain that isn’t Discoverable shows in Active as Joined with the invite link.; with a Discoverable domain, the row says Joins with the domain, like someone who joins through the domain.
Roles: Owner, User and Custom
Section titled “Roles: Owner, User and Custom”In each row’s Role column you change the role: Owner, User or Custom (the ⓘ next to the column title sums each one up). You can’t change your own role. Making someone an Owner asks you to confirm with Yes, make Owner: Owners manage the whole organization, billing included. The Owner who created the workspace has no selector: their role isn’t changed from here.
The role change is saved right away and reaches the workspace in a couple of minutes. The notice says “Role updated. The workspace permissions apply in a couple of minutes.”
Custom is a member who gets the roles of their groups: with roles, the admin decides which models they use (see Groups and roles). A User uses every enabled model. Switching someone to Custom or back to User reaches their chats in a couple of minutes.
Tier: Standard and Premium
Section titled “Tier: Standard and Premium”In the Tier column you choose Standard or Premium for each person. Every new person joins as Standard.
Premium includes more usage per month (see Plans and pricing). You can only move someone to Premium if there’s a free Premium seat: there can’t be more people on Premium than Premium seats bought. If there’s no free one, the Premium option is disabled and above the table it says No Premium seats free., with Buy seats.
Moving someone from Premium to Standard asks you to confirm (Yes, move to Standard): their usage limit drops right away and, if they’ve already used more than Standard includes, their usage is paused until the 1st of next month.
Remove someone
Section titled “Remove someone”In each row’s ⋮ menu, Remove takes that person’s access away: they won’t be able to sign in again, their open sessions close, they leave their groups and their user is freed. What they did in the workspace stays.
You can’t remove someone who joins with a domain that is Discoverable (they just sign in again), which includes those who used the invite link with such a domain; their row says Joins with the domain, and a notice above the table explains that they lose access when their company account closes and who to write to to remove them. You can remove someone who joined with the invite link from a domain that isn’t Discoverable: they only come back with the link or an invitation. You also can’t remove an Owner: first you change their role (the Owner who created the workspace can’t be removed). The option appears disabled and explains why.
You can pick several people with the checkboxes and remove them together with Remove selected.
Pending invitations
Section titled “Pending invitations”In Pending, each invitation shows the email, who sent it (Invited by) and when (Sent). Its ⋮ menu has Resend, which sends the email again, and Cancel invitation, which makes the link in that email stop working. With the checkboxes you cancel several at once. At the top, in Join requests, you approve or dismiss those who asked to join (see Asking to join the workspace).
Filter and export
Section titled “Filter and export”- In Active, the Role filter shows only one role at a time.
- Search by name or email filters the list.
- Export CSV downloads the list you’re viewing: in Active, with name, email, role, tier and last sign-in; in Pending, with the email, who invited them and the date.
The list shows 25 people per page.
